About the Role
Based in Port Moresby, this position reports to the Manager Administration. The successful candidate will be responsible for the provision of staff and office administrative functions of the Technology SBU. The position carries out all administrative tasks/duties and assists the Manager Administration with any other tasks as required.
Key Deliverables
- Management of the General Office Facilities and Environment for the effective operation of the Technology SBU as well as ensuring occupational health and safety
standards and practices. - Facilitation of assigned staff administration tasks to ensure these are completed/delivered within the stated/required time frames.
- Coordinate business duty travel/transport requirements and logistics for Technology SBU Staff and for visiting Vendors/Consultants.
- Ensure IT office Equipment, resources and supplies (both stationary and refreshments) are sourced, tracked and maintained for SBU Staff and Management to use in line with executing their duties.
- Coordinate the SBU staff uniform orders with Finance & Planning team to ensure staff get the required uniforms in a timely manner.
- Ensure all fuel receipts for all BSP issued vehicles under the Technology SBU are received from custodians in a timely manner to be reconciled in accordance with the F&P Procurement Team.
- Ensure all Technology SBU Business Expense Accounts and Cards (MCDC, VDC) are reconciled and monitored on a regular basis according to the BSP Finance & Planning Policies, Processes and Procedures.
- Provide monthly report on Technology SBU Business Expense Accounts Status and exceptions to the Head of Governance.
- Responsible for the initial tasks of on-boarding and tracking of new users (staff & consultants) requiring physical access to the office space and access to the system(s) and related applications for their respective roles.
- In collaboration with the Manager People & Change, track the Technology SBU staff movements (entry/exit), ensuring that staff exit forms are completed for departing staff along with any required return items (Laptops, uniforms, etc.).
- Responsible for Technology SBU staff HDAs and travel allowance requests, Casuals & Temp staff salary/wage payments, and any other tasks as directed by Head of Governance.
- Be the advocate for BSP People & Culture policies and procedures and provide the necessary information when required by staff, or direct them to where they can view the information themselves.
What You Bring:
Qualification & Experience
- Minimum of Diploma in Business, Business Administration, Accounting or IT.
- Computer literate – good skills in the use of personal computer on enterprise network using enterprise data storage infrastructure.
- Microsoft Application knowledge (Advance).
- Sound Communication skills (verbal/Written).
- Sound knowledge of BSP HR policies and procedures.
- Sound knowledge and awareness of the Technology Org Structure and functions of each team within the Technology SBU.
- Capability to manage the high demand for various services by Technology Management & staff and deliver on time.
- 2 years of practical experience in a similar role preferable within an IT Organization/department.’
- Experience in working with highly technical and skilled staff on a daily basis.
