Position Details

About the Role

Based in Ravalien Haus, Port Moresby, the Executive Assistant (EA) to the Group Chief Executive Officer (GCEO) will work alongside the GCEO’s Chief of Staff as a key member and trusted partner, providing comprehensive administrative support to enhance the efficiency and effectiveness of the GCEO’s Office. This is a key position that requires discretion, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilites:

Executive Support & Time Management:

  • Coordinate and manage the GCEO’s schedule, ensuring efficient use of time and prioritisation of meetings and engagements.
  • Proactively plan and coordinate meetings, events, and speaking engagements, anticipating needs and potential conflicts.
  • Manage the GCEO’s travel arrangements (domestic and international), ensuring seamless logistics and optimising travel efficiency.
  • Coordinate EXCO meetings and assist the Chief of Staff with setting the agenda, tracking action items, and following up to ensure execution and meeting minutes as required.
  • Provide support for Board activities, as required.
  • Support the GCEO’s and his family’s personal administrative requirements from time to time, including but not limited to booking of travel and accommodation.

Stakeholder & Relationship Management:

  • Act as a trusted liaison between the GCEO and internal/external stakeholders, ensuring professionalism and discretion in all interactions.
  • Build and maintain positive relationships with board members, senior management, clients, and other key stakeholders.
  • Serve as the primary point of contact between the GCEO and internal/external stakeholders.

Business & Project Assistance:

  • Assist the GCEO’s Chief of Staff with special projects, research, and data compilation as directed by the GCEO.
  • Where required, support logistical coordination of external consultants and strategic advisors engaged by the Bank, ensuring smooth integration and delivery.

Administrative Oversight & Communication:

  • Assist the GCEOs Chief of Staff with overseeing general office operations and coordination, ensuring a smooth-running executive office.
  • Monitor and review the GCEO’s expense reports, ensuring accurate reconciliation and compliance with financial policies.
  • Maintain up-to-date records for the GCEO’s office.
  • Handle correspondence received by the GCEO’s office, delegating to the business as required.
  • Draft, edit, and review correspondence and communications on behalf of the GCEO.

Confidentiality & Professionalism:

  • Handle highly sensitive and confidential information with absolute integrity, ensuring data security and adherence to corporate governance standards.
Essential Qualifications, Professional/Skills and Experience:
  • Minimum qualification in office administration/secretarial studies and ideally a Bachelor’s degree in Business Administration, Finance, or a related field.
  • Minimum 7+ years as an Executive Assistant or in a similar administrative role, preferably at senior executive level.
  • Proven track record of supporting C-suite executives in a fast-paced and dynamic environment.
  • Experience in board governance, corporate affairs, and high-level stakeholder engagement is highly desirable.
  • Excellent written and verbal communication skills.
  • Visibility of work requires attention to detail, excellent organisational skills, and discretion with confidential information.
  • Intermediate Technical Skills in Filing/Record Management.
  • Excellent Interpersonal skills.
